Job Title: Administrative and Customer Service Assistant
FLSA Status:  Non-Exempt

Job Summary
The Administrative and Customer Service Assistant is responsible for providing clerical and administrative support to the front office and customer service/sales team.

Responsibilities

  • Answer all incoming phone calls and emails in a timely manner
  • Provide quality customer service in every interaction
  • Maintain clean and organized front office and conference room, including inventory and order office supplies
  • Process sample requests, involve other departments for custom samples
  • Manage the sample room: keep it organized, review inventory levels and order as needed
  • Provide price quotes that are within designated pricing parameters
  • Enter quotes and customer orders into the system and ensure everything is entered accurately and with specified terms and conditions
  • Coordinate with internal teams to resolve customer questions, requests, or issues
  • Navigate systems and reference materials to research customer issues and provide accurate information
  • Provide proof of deliveries as requested by customers
  • Communicate vital information (pricing, lead times, etc.) to customers and answer product questions
  • Process customer credit memos
  • Review freight bills for accuracy and provide freight bill verifications
  • Responsible for all phone system related tasks
  • Assist with various accounts payable activities, including entering A/P vouchers
  • Provide accounts receivable support with customer invoicing and matching payment checks to customer invoices,
  • Support year-end filing activities
  • Greet clients, visitors, and guests
  • Perform general office duties such as filing and copying
  • Other duties as assigned

 

Qualifications: Required Skills, Education, and Experience

  • High School Diploma or GED
  • 3+ years in customer service and/or administrative support role
  • Experience working in ERP systems and CRM software preferred
  • Excellent time management and organization skills. Must have the ability to multi-task and work in a fast-paced environment, re-prioritize based on business demands coupled with a strong sense of urgency.
  • Proactive, self-directed, and motivated; not afraid to “roll up your sleeves.”
  • Strong internal and external customer service focus
  • Impeccable follow-through and attention to detail. Timely and accurate execution of responsibilities.
  • Strong verbal and written communication skills
  • Intermediate skill level in Microsoft Office, specifically Outlook, Word, and Excel
  • Team player with a positive attitude
  • Must be able to report to work
  • Experience working in a manufacturing environment a plus.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
